Fix Processes Before Adding Ai

From linkedin.com/in/gauravsaini03

A model cannot rescue missing permissions, inconsistent fields, or inaccessible source systems.

Systems, documents, handoffs, re‑entry, approvals, and exceptions.

When naming a workflow I define it with a concise, action‑oriented title and explicitly capture the trigger, owner, and quantified failure cost.

I recently reviewed Stanford's systematic analysis of 51 enterprise AI deployments and found that the AI model itself was not the primary differentiator of success.

The review covered 51 enterprise AI deployments.

The study concluded that the model was not the differentiator; organizational readiness, process, leadership, and willingness to change drove outcomes.

From this I decided to shift my focus from model selection to strengthening organizational capabilities such as change management, leadership alignment, and process redesign.

When I move a system into the operation phase, I now insist on a clear set of operational responsibilities: evaluation sets, human escalation, latency and cost monitoring, ongoing system health monitoring, and a named owner for failure response.

  • Define evaluation sets for regular performance checks.

In the design stage I now add AI only where the judgment is explicitly bounded—tasks such as classification, extraction, drafting, summarisation, or any decision with clear rules.

  • Classification

For deterministic, stable‑rule steps I now prefer ordinary software—scripted code or rule‑engines—because they are cheaper, easier to audit, and more trustworthy.

If a step is deterministic, ordinary software may be cheaper and easier to trust.

  • Extraction
  • Drafting
  • Summarisation
  • Decisions with explicit boundaries
  • Establish a human escalation matrix with thresholds and contacts.
  • Implement latency monitoring dashboards and alerts.
  • Track cost with billing reports and set overrun alerts.
  • Deploy system health endpoints, log aggregation, and anomaly detection.
  • Record a named owner in the run‑book and CMDB.

that is what exactly we do whenever someone comes to us at Viithiisys Technologies for AI enablement or implementation

The expensive mistake is not choosing the wrong model.

I therefore prioritize mapping a client’s existing workflow before any AI component is introduced, because the real risk lies in premature integration rather than model selection.
